Role Overview

#

The Operations Officer is responsible for supporting the smooth execution of programs, projects, and day-to-day operational activities. The role requires strong organization, consistent follow-up, accurate documentation, and effective coordination with internal and external stakeholders.

The ideal candidate is proactive, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. The role is suitable for someone who wants to grow from operational execution into broader workflow and program ownership.

Key Responsibilities

Operational Execution

#

  • Execute and monitor daily operational activities, schedules, logistics, and assigned workflows.
  • Support the preparation and delivery of programs, meetings, events, and operational activities.
  • Ensure operational requirements are ready before deadlines, launches, sessions, or events.
  • Complete routine tasks accurately and according to agreed procedures.
  • Monitor recurring responsibilities and ensure they are completed consistently.
Follow-Up and Coordination

  • Coordinate requirements across internal teams, clients, instructors, vendors, contractors, and other stakeholders.
  • Follow up on deadlines, approvals, deliverables, payments, documents, and pending actions until completion.
  • Confirm owners, deadlines, dependencies, and expected outcomes.
  • Provide timely reminders and escalations when actions are delayed.
  • Maintain professional relationships while ensuring accountability.
Documentation and Reporting

  • Maintain accurate trackers, reports, schedules, meeting notes, databases, and operational records.
  • Document decisions, comments, approvals, and next steps in visible and accessible places.
  • Prepare regular progress updates and flag outstanding actions.
  • Review information for accuracy before sharing or finalizing it.
  • Support the preparation and improvement of SOPs, checklists, templates, and operational guides.
Issue Resolution and Risk Management

  • Identify missing information, operational gaps, and delivery risks early.
  • Resolve routine issues independently within approved guidelines.
  • Escalate concerns involving policy, client impact, cost, reputation, safety, or major delays.
  • Suggest practical next steps when raising a problem.
  • Support corrective actions and help prevent recurring issues.
Process Improvement

  • Identify repetitive, unclear, or inefficient processes.
  • Recommend practical improvements to trackers, workflows, templates, and communication methods.
  • Support the implementation of new systems and operational standards.
  • Help ensure improved processes are documented and consistently followed.

Qualifications

  • Bachelor's degree in Business Administration, Management, Operations, Project Management, Education, or a related field.
  • One to three years of relevant experience in operations, administration, project support, program coordination, events, customer experience, or a similar role.
  • Proficiency in Google Workspace.
  • Experience with project-management, CRM, documentation, or collaboration tools is an advantage.
  • Experience in education, training, technology, events, or service-based organizations is preferred but not mandatory.
