About the Role

Program Coordinator

CODED — The First Tech & AI Academy in the Arab World

About CODED

CODED is the first tech and AI academy in the Arab world, and the region's go-to place for technology and AI education. We build real technical capability — software engineering, artificial intelligence, cybersecurity, data science, and emerging technologies — across individuals, youth, and enterprises.

What we are building is talent density. Not headcount. Not volume. A concentrated pool of genuinely exceptional people, inside CODED and across the market we serve.

We only aspire to work with people who are excellent at what they do, and who raise the standard of everyone around them.

A programme at CODED is a promise: show up, do the work, and you will leave able to do something you could not do before. Keeping that promise is an operational discipline as much as an educational one.

The Role: Program Coordinator

The Program Coordinator is the person who makes a programme actually run.

Instructors teach. Curriculum designers design. The Program Coordinator makes sure the right people are in the right room at the right time with the right materials — and that everyone involved knows what is happening next.

This is an on-the-ground role. You are present at sessions, not managing them from a distance.

Three domains:

  1. Programme Delivery & Logistics
  2. Communication & Stakeholder Support
  3. Coordination, Tracking & Improvement

I. Programme Delivery & Logistics

  • Attend offline sessions and manage programme flow in real time
  • Plan activities, schedules, rooms, materials, and logistics ahead of every cohort
  • Lead mentors, organisers, and volunteers to deliver a smooth participant experience
  • Solve problems early — a missing instructor, a broken projector, a schedule clash — before they become visible to students
  • Manage attendance, punctuality, and session records
  • Coordinate events, demo days, graduations, and field activities

Objective: the programme runs so smoothly that nobody notices the coordination.

II. Communication & Stakeholder Support

  • Provide clear, timely responses to students, parents, instructors, and line managers
  • Listen, guide, and de-escalate when tension appears — and it will
  • Maintain a supportive, professional tone with parents and participants at all times
  • Keep the programme team and leadership updated at every stage, without being asked
  • Offer simple, practical solutions in pressure moments
  • Gather participant feedback throughout the programme, not just at the end

Objective: everyone involved always knows where things stand.

III. Coordination, Tracking & Improvement

  • Track tasks, deadlines, and updates in project management tools with real discipline
  • Maintain accurate programme records: attendance, progress, assessments, certificates
  • Coordinate across education, marketing, admissions, and operations teams
  • Propose activities, formats, and improvements based on what you observe on the ground
  • Document what worked and what did not so the next cohort runs better
  • Support reporting to clients, partners, and leadership

Objective: every cohort is better organised than the one before it.

Why This Role Is Critical

Education quality is not only what is taught. It is whether the session started on time, whether the parent got a reply, whether the instructor had what they needed, and whether the student felt looked after.

Without strong programme coordination:

  • Instructors absorb logistics and teach worse.
  • Parents and students escalate to leadership.
  • Problems get discovered by participants instead of by us.

What We're Looking For

  • Bachelor's degree in a tech field, business administration, education, communications, or similar
  • 2+ years in programme coordination, event organisation, operations, or project management
  • Strong communication and interpersonal skills — with students, parents, and instructors alike
  • Highly organised and accurate with task and detail management
  • Calm under pressure and genuinely good at de-escalation
  • Proficient in Notion, Airtable, and Google Workspace; comfortable using AI tools to work faster
  • Creative — able to propose activities, improvements, and ideas rather than only execute them
  • Fast learner with new tools and systems
  • Fluent Arabic and English
  • Flexible with schedule: programmes run in the evenings and occasionally on weekends
  • Genuine passion for education and community building

This is a role for someone who takes quiet pride in things running well.
